Choosing freight forwarding software in India: a practical checklist

By Freightflow Team

Most freight software demos look alike: a dashboard, a shipment list, a map. The differences only show up when you ask about your own work: the moves you actually run, the documents you actually chase and the corrections accounts actually makes. These are the questions we would ask, grouped by desk.

Operations

  • Can it follow a container through every move you run: empty pickup, factory stuffing, ICD gate-in, rail-out, port gate-in, vessel?
  • Can a desk record each event in one place, or does it live in a separate tracker?
  • Does it know free days per shipping line, port and customer agreement, or only one number per container?
  • Can it show the days left on every box without someone recalculating them?
  • Are documents attached to the container and job they belong to, with versions, or do they stay in email threads?

Billing and finance

  • How does billing know a charge is ready? The strongest answer is that completed work becomes a pending charge automatically and stays visible until an invoice covers it. The weakest is "accounts checks with operations".
  • Does it generate GST e-invoices with IRN, including credit and debit notes?
  • Can it bill the consignee or another party, not just the shipper?
  • Does it post invoices, bills and receipts to Tally, or whatever you keep your books in, without re-entry?

Control

  • Can access be set per role, so drivers, CS, documentation and accounts each see only what they need?
  • Is there an audit trail of who changed what?
  • If the vendor hosts many companies, how is your data kept separate from theirs?

Rollout

  • How is existing data brought in: customers, depots, lines, rate cards, open jobs?
  • Who trains each desk, and how long until the team runs live jobs?
  • Who answers when something breaks on a Saturday?
Bring your messiest real example to the demo. A tidy sample shipment proves nothing.

What should you ask in a freight software demo?

  • Ask to see a correction, not just a happy path: a vessel roll, a rate change after invoicing, a credit note.
  • Ask what happens when two desks update the same container.
  • Ask where a new joiner would look to find out the state of a job.

The answers tell you more than any feature list.

We built Freightflow against this list, and we would rather you test us against it than take our word for it.
