Getting freight invoices into Tally without typing them twice

By Freightflow Team

Operations raises invoices in one system; accounts keeps the books in Tally. In between, someone re-types each invoice, each vendor bill and each receipt. It is slow, and every re-typed figure is a chance for the two systems to disagree.

What has to map

DocumentTally voucher
Sales invoiceSales voucher
Vendor billPurchase voucher
Customer paymentReceipt voucher

Behind them sit ledgers: one per customer and vendor, income ledgers per service and the GST ledgers for CGST, SGST and IGST. The mapping between your charges and Tally's ledgers is set once and then applied every time.

What has to match exactly

These must be identical in both systems, or the GST returns and the books will not reconcile:

  • Invoice number.
  • Date.
  • Party GSTIN.
  • Place of supply.
  • Tax split.

A registered e-invoice in particular must not be altered on the way across.

Two systems are fine. Two versions of the same invoice are not.

What happens when an invoice is edited after posting?

The tricky part is change. When an invoice is corrected after it has reached Tally, the sync has to update or reverse the existing voucher rather than post a second one. Duplicates are the usual reason books drift.

Freightflow syncs invoices, purchase bills and receipts to Tally as vouchers using a ledger mapping you set once, so accounts reviews entries instead of typing them.
