Why we built Freightflow around the carrier's inbox

Ask any operations desk where their day actually happens and the honest answer is: the inbox. Booking confirmations, arrival notices, rate replies, exceptions — the raw material of the business lands as unstructured email with a PDF attached. Everything downstream waits on a human reading it first.

Most freight software ignores this. It assumes clean, structured data already exists and gives you a beautiful place to store it. But the work that eats the day is the translation step — turning a carrier's PDF into a booking, a vendor's invoice into a payable — and that step is left entirely to people.

Start where the chaos is

So we started Freightflow at the inbox. Connect a mailbox over IMAP or Microsoft 365, let an admin decide which senders and subjects matter, and the system reads what arrives. A booking confirmation becomes a structured booking; a carrier or ICD bill becomes a reconciled payable — each record stamped back to the exact email it came from.

The measure of good freight software isn't how it looks when the data is clean. It's what it does with the document nobody wanted to open.

That framing changes everything about the product. Extraction isn't a feature bolted onto a dashboard — it's the front door. Get that right, and the rest of the operating system finally has something real to work with.

The inbox is the system of record

Once you accept that the inbox is where the business really begins, a second idea follows: the email isn't just a trigger, it's evidence. So every record Freightflow creates keeps a link back to the message and attachment it came from — who sent it, when, and exactly what it said. When a dispute lands three months later, the source is one click away, not lost in someone's mailbox.

That traceability is quietly one of the most valuable things about starting at the inbox. Automation people trust is automation they can audit. Every booking and every bill can be traced to its origin, which means the team stops second-guessing the machine and starts relying on it.
